Tip #7 Event Entertainment Ideas – What happens once you’ve booked an act?

In this series I’m sharing my top 7 things to think about when hiring entertainment.OK so you’ve been working really hard putting this event together.  You’ve chosen a great menu and the perfect venue. But if the entertainment you’ve booked leaves your audience bored or even heading outside, you’ve blown it. People are counting on you to make the event fun, memorable, engaging and in good taste.
So, it’s your responsibility and you have to get the entertainment right. Because at the end of the day, no-one will remember the food, the wine or the table settings but they will remember, good and bad, the entertainment. So what are some of the things you need to think about when hiring quality entertainment?

Today we’re focusing on point #7, our last point in the series… and that’s thinking about what happens once you’ve booked an act

So you’ve decided on the act, they were available and you want to book them… what happens next?

Firstly you’ll most probably be asked for a deposit invoice and to sign a contract. This locks the performance in to your event. A contract should include all the details such as the performance date and time, location, price, when payment is due, the production or AV requirements, and who provides what and when. This ensures that everyone is on the same page to prevent any confusion.

After that – Keep in touch. A good act will get in touch with you.. a few times …to maybe ask you for the contact details of the AV company, maybe the caterers and make sure that there are not going to be any surprises on the night.

You need to keep a dialogue going discussing things like the events running list, sound check times, song selection, attire and setup.

You need to make sure that you’ve understood their requirements, that they’ll be looked after well during the event so that they’re really pumped to perform for you and your guests at their best level on the night. The performers are going to be an important partner in making sure your event is a great one. So try not to cramp their style… and trust they’ll know what to do.

And if you really liked the act, tell everyone! A little love shared around is a beautiful thing.
